Employer Monthly - January Issue
A new year means a new reporting season. And this season is all about doing our best to serve our members – making sure that their pension records are correct and providing updates about their benefits in a timely manner.
In this issue of OMERS Employer Monthly, you’ll find access to helpful annual reconciliation resources and useful tips to guide you through the process. You’ll also get information on completing the 2020 attestation process and a link to our regular Employer Satisfaction Survey.
It’s time for the annual reconciliation
We’re well into the new year, which means it’s time to begin your 2020 reporting.
Luckily, there are many training options and resources available to make it a little easier for you. Whether you want to learn at your own pace with an e-Learning module or sign up for a webinar to ask questions of our Education & Training team, you’ll find plenty of ways to access the information you need. Visit the Annual Reconciliation (e-Form 119) page on our website to learn more.
This year, you’ll also be able to use the new e-access system for your e-Form 119 processing. For more information on using e-access and the available processes, please visit our e-access Information Portal, where you’ll find tip sheets, e-Learning modules and webinar dates.
Reporting tip:
If a member is on leave due to disability, you will need to report that time as a Disability Leave using the Leave period reporting/election – Part A: employer reporting (Form 165). This also includes time after the first day of the fifth month if the member’s waiver is pending. View the e-Learning module for step-by-step instructions, or refer to Section 13 of the Employer Administration Manual for information on disability benefits.

To complete updates to our internal systems, e-access will be unavailable during the following period:
Start: Saturday, January 30, 2021 at 8 a.m.
End: Sunday, January 31, 2021 at 2:30 p.m.

Spotlight: Hearing from an OMERS employer
As OMERS employers, you have a lot of helpful insight to share on administrative practices. We recently reached out to an employer to ask “What’s one tip you would provide to employers right now about OMERS administration?”
Mihai from Conseil scolaire catholique MonAvenir shared his tip about keeping records up to date:
To keep your records up to date, use the data extract functionality in e-access. Select Batch processes, then click Extract data. From the drop-down options, choose Membership Data Extract and you’ll get the employees’ information (active and inactive) for the current year that you can match with your HR/Payroll information data. This allows you to follow up accordingly on enrolments, terminations, etc. The report is generated in .txt format, however it is easily convertible into Excel using comma delimitation (CSV).
Reminder: Complete the 2020 attestation
Last September, we reached out to your organization’s senior management official to complete the annual attestation process. It’s an important part of ensuring that the OMERS Pension Plan is administered in a legally compliant way. If you have not already done so, please complete the following:
1. Attestation by the senior management official
This is an annual certification stating that procedures at your organization are operating in accordance with the requirements of the OMERS Plans.
2. Confirmation of registered e-access users
From time to time, your organization’s users may change. It is important that the current list of users is up to date to keep member information secure.
